1. Who we are

AutoCognition Pty Ltd (ABN 32 423 158 246) is an Australian AI and automation consulting company based in Sydney, NSW. We provide automation, workflow, and technology solutions for Australian small and medium businesses.

2. Information we collect

We collect personal information when you:

• Submit a form on our website (autocognition.com.au) — including the contact form, the AI Assessment, whitepaper download forms, and our landing pages
• Book a call with us
• Email or contact us directly

The information we collect typically includes:

• Name (first name, and last name where provided)
• Email address
• Company name and website (where provided)
• Message content (where you submit a contact form enquiry)
• The resource requested (e.g. which guide or whitepaper you downloaded)

We do not collect payment card details, government identifiers, health information, or other sensitive information through our website or landing pages.

3. The AI Assessment

Our free AI Assessment asks additional questions about how your business operates — your industry, team size, the tools you use, enquiry volumes, average job value, how much time is spent on administration, and where you feel your time goes. This section explains specifically how that information is handled, because it is processed differently to a normal contact form.

• It is analysed by AI. Your answers, together with the publicly available content of the website address you give us, are sent to Anthropic's Claude API to generate your report. Anthropic processes this data as our service provider. Anthropic does not use data submitted via its API to train its models.
• We look at your website. If you provide a website address, our system retrieves the publicly available content of that page to make the report more specific to your business. We only access information that is already public.
• Your report is emailed to you and a copy of the key findings is sent to us.
• Please don't include personal details about other people. The free-text fields ask about your work, not about individuals. We ask that you avoid including customer names, client details, staff details, or any health or other sensitive information in your answers.

How long we keep it. We keep the personal information from your assessment — your name, email address, website, and anything you wrote in the free-text fields — for 90 days, after which it is deleted from our systems.

We separately retain a de-identified record of the assessment: your industry, team size, scores, and the general patterns identified. This record contains no name, email address, website, or free-text content, and cannot reasonably be used to identify you or your business. We keep this indefinitely and use it in aggregate to improve the assessment and to publish industry benchmarks. Any benchmark we publish reports on groups, never on an individual business.

4. How we use your information

We use the information you provide to:

• Deliver the resource, report, or assessment you requested
• Respond to your enquiry or contact form submission
• Send follow-up communications related to your enquiry or the resource you requested
• Occasionally send relevant business updates, guides, or offers — you can opt out of these at any time
• Maintain records of leads and client enquiries for internal business purposes
• Improve our services and, in de-identified and aggregated form only, publish industry benchmarks

We will not use your information for purposes unrelated to the above without your consent.

5. How we store your information

Your information is stored and processed using the following tools:

• Make.com — our automation platform processes form submissions and routes information between systems. Make.com processes this data on servers located in the European Union.
• Anthropic (Claude API) — generates your AI Assessment report. Anthropic processes data on servers located outside Australia, primarily in the United States.
• Google Workspace (Sheets, Drive, Gmail) — we maintain our CRM records and communicate with you using Google Workspace. Google processes data across a global infrastructure, which may include servers outside Australia.
• Cal.eu — our booking pages, which collect your name and email address when you schedule a call.
• Cloudflare — hosts and protects our website and landing pages.

All of these services maintain their own security and privacy practices. We take reasonable steps to ensure your information is handled securely and is only accessible to AutoCognition personnel.

6. Overseas disclosure

We want to be upfront about this: some of your information is processed outside Australia. As set out above, our automation platform processes data in the European Union, and our AI provider processes data in the United States. Both are established providers with their own security and privacy commitments, and both act as our service providers rather than using your information for their own purposes.

If your organisation has data residency requirements that prevent information being processed offshore, please contact us before submitting an assessment — we can discuss options, including Australian-hosted alternatives for client work.

7. Sharing your information

We do not sell, rent, or trade your personal information to third parties.

We share your information only with the service providers listed above, who process it on our behalf as part of delivering our services. These providers are bound by their own privacy policies and data processing agreements.

We may disclose your information if required to do so by law or a regulatory authority.

8. Marketing communications

If you download a resource, complete an assessment, or submit a contact form, we may send you relevant follow-up communications. Every marketing email we send includes an unsubscribe link. You can also opt out at any time by emailing pete@autocognition.com.au and we will remove you from all communications promptly.

9. Your rights

You have the right to:

• Access the personal information we hold about you
• Correct any inaccurate information
• Request deletion of your personal information from our records
• Opt out of marketing communications at any time

To exercise any of these rights, email us at pete@autocognition.com.au. We will respond within a reasonable timeframe.

Please note that once a de-identified assessment record has been separated from your personal information, we can no longer connect it back to you, and so cannot retrieve or delete it individually. It contains nothing that identifies you.

10. Cookies and analytics

Our website uses:

• Google Analytics 4 — to understand how visitors use the site (pages viewed, general location, device type). This uses cookies.
• Google Ads — to measure the performance of our advertising and, where applicable, to show relevant ads. This uses cookies.
• Cloudflare — for performance and security.

You can block or delete cookies through your browser settings.

11. Changes to this policy

We may update this policy from time to time. When we do, we will update the "last updated" date at the top of this page. We encourage you to review it periodically. Continued use of our website or services after any changes constitutes your acceptance of the updated policy.
